【General Position Summary】
This position provides customer service & order management activities, accounting activities and handles office administration.

【Essential Job Functions】
Customer Service / Order Management
• Conducts research including desk research and comparison with internal database.
• Creates delivery reports and reconfirm accuracy with reports.
• Responsible for order processing, delivery control and back end sales activity functions.
• Ensures accuracy of order number and contents as well as order requests to suppliers.
• Checks availability of existing reports.
• Analyzes and makes necessary adjustments on credit reports (products).
• Delivers products to clients by delivery due date as contracted.
• Communications with clients and suppliers via phone, email, fax or letter for order processing and new inquiries from potential clients.
• Provides customer service to handle questions and issues arising with orders.
• Manages a database in an internal system including speed, product type and status update.
• Builds a trust relationship with existing suppliers.
• Reports to the manager on sales activities weekly/monthly basis.

Accounting Administration
• Process credit card payments through internal system.
• Ensures accuracy of the number and amount of sales and cost.
• Issues invoices and sends them to clients via mail, email or fax.
• Issues checks and sends them to suppliers and venders via mail.
• Prepares necessary documents, handouts and reports for weekly/monthly meetings.

• Handles incoming/outgoing phone calls of company’s main line and office visitors.
• Performs, collects and updates necessary documentation, filing and listing.
• Performs clerical duties such as photocopying, scanning & printing, sending/receiving fax and letters etc.
• Maintains high ethical standards in the work place.
• Reports all irregular issues and problems to manager(s) and works to resolve those issues.
• Complies with all company policies and procedures.
• Performs special projects and other miscellaneous duties as assigned by manager.

• High school diploma or general education degree (GED); or equivalent combination of education and experience.
• Six months to one-year experience of office administration.
• Software includes the use of Windows operating system and MS Office applications.
