Japanese IT company seeks a temporary Executive Secretary in NYC.


・Manage CEO’s calendars including scheduling various kinds of meetings and appointments.
・Coordinate end-to-end travel needs, including booking all travel and hotels, directions, and ground transportation in addition to processing all reimbursement in a timely manner.
・Prepare and draft various kinds of reports, official correspondence, agenda, meeting minutes, spread sheets, charts and presentation slides.
・Translate documents, reports and communication between Japanese and English.
・Arrange transportation, lodging, meals and entertainment for CEO’s guests as needed.
・Handle visitors and clients including greeting and directing them to the appropriate place and offering beverages.
・Assist organizing company events such as intra-company training.
・Participate in CEO’s projects by providing administrative support as needed.
・Other Secretary duties assigned by CEO.

・Prepare various reports including Company monthly reports, project overviews and status report.
・Handle Customer Satisfaction Survey (CSS) related tasks including project data extraction from SAP ByD, Survey Monkey operations, and report preparation.
・Assist recurring contract management in SAP ByD including account management, Master Service Agreement maintenance, Project/SO maintenance, and Invoice preparation.
・Organize to keep the Customer Data Base updated including periodic notification and following-up with the Division/Project Managers.
・Assist coordination for Annual IT Managers conference such as answering guests’ inquiries, taking attendance, arranging meals and beverages.
・Other IT Planning duties assigned by the IT Planning Division Manager.

【Knowledge and Skills】
・Must be fluent reading, writing, and speaking in English and Japanese
・Strong organizational skills, multi-tasking, and a high level of confidentiality
・Proficient MS office (Word, Excel, Power Point, Outlook and teams)
・Ability to professionally interact with management and coworkers
・Basic accounting skills is preferred

【Relevant Experience and Education】
Bachelor’s Degree or equivalent experience, and 2-4 years of comparable experience supporting executives is required.

・Temp Period:7月から12月(6か月間程度)
・Location: NY (Hybrid形式で週3日出社)
・Work Hour:M-F 9AM-5PM (1 hour unpaid lunch)
