SUMMARY:
Inside Sales Coordinator is responsible for managing assigned customer accounts and
providing effective customer service in responding to customer inquiries, management of inventory
control, and expediting of orders and shipments to customers. He or she acts as liaison between
the customer and manufacturing factories. Sales function includes both direct sales and distributor
sales.
ESSENTIAL DUTIES AND RESPONSIBILITIES: Under supervision, the Inside Sales Coordinator is responsible for the following duties and responsibilities:
1. Enters and maintains current information on customer orders daily. Determines the amount of stock needed to meet customer requirements and places factory orders in MRP system.
2. Responds to inquiries from customers, distributors, co-workers, sales representatives, international factory representatives, and management by telephone or e-mail on a daily basis.
3. Expedites orders and releases inventory for shipment to customers. Checks inventory and enters picking instructions into database and sends to warehouse.
4. Creates spreadsheets and reports to aid in the management of inventory levels or other.
5. Calculates price mark-ups and profit margins for products. Also submits price quotes and bids to customers as requested.
6. Gathers information and compares competitor products and pricing to products, places sample orders to capture new business, and submits bids in efforts to secure new business.
7. Provides information and reports to company management regarding sales forecasts, sales budgets, stock statuses, etc, when requested.
8. Reviews records and reports related to customer accounts related to payments due, responds to inquiries and coordinates resolution of problems related to invoicing process.
9. Provides information and reports monthly on Point-of-Sale reporting to calculate sales commissions payable to sales representatives.
10. Occasionally travels to customer and/or distributor facilities.
11. Performs other related duties as assigned or directed by management.
12. Crosses competitor’s parts to parts.
13. Past due collections.
14. Other duties as requested by management.
EDUCATION AND EXPERIENCE:
●High school education or the equivalent required, with additional training in use of
computers and customer/sales service. Two to three years of related experience preferred.
●General knowledge of shipping and billing procedures desired, including import/export
shipping requirements. General knowledge or experience in basic accounting helpful. Proficiency in
use of AS400 system as well as Microsoft Office software and the use of spreadsheets required.
Effective oral and written communications required to deal effectively with customers.
PHYSICAL DEMANDS: Physical requirements of normal office environment. Uses hands and arms to reach for
papers, writing instruments, and other office equipment. Utilizes speaking and hearing senses to
communicate with others. Typically, does not lift more than 10 – 15 pounds.
WORK ENVIRONMENT: Normal office environment may occasionally travel to customer sites; less than 5% of time
spent traveling, typically by airplane and automobile.
