Job Summary:
We are seeking a dedicated and culturally aware HR Assistant to support our Human Resources
team, with a focus on assisting Japanese expatriates during their transition and employment with
the company. The ideal candidate will assist in various HR functions, including onboarding,
relocation support, compliance with local labor laws, and cultural integration, ensuring a
seamless experience for our Japanese expat employees.
Key Responsibilities:
• Onboarding & Relocation Support:
o Assist Japanese expatriates with the onboarding process, including preparing
necessary documentation, introducing company policies, and conducting
orientation sessions.
o Support the relocation process, helping expats with housing, local registration,
visa/work permit applications, and travel arrangements.
o Coordinate with external relocation service providers to ensure smooth transitions
for expatriates and their families.
• Cultural Integration & Language Support:
o Provide support in cultural integration programs, helping Japanese employees
adapt to local work culture and social norms.
o Act as a liaison between expatriates and local teams, ensuring effective
communication and understanding across cultural differences.
o Assist with translation and language (e.g., helping with documents or interpreting
appointments as necessary).
• Employee Records & Documentation:
o Maintain accurate and confidential records for expatriates, including visa details,
work permits, contracts, and other HR-related documents.
o Ensure all legal and regulatory requirements regarding expatriate employees are
met, including work authorization and compliance with local labor laws.
• Compliance & Regulatory Support:
o Ensure compliance with both local labor laws and Japanese expatriate-specific
employment regulations.
o Support expatriates in obtaining necessary legal documents, such as visas and
permits, and ensure they are renewed on time.
o Assist in managing compliance with immigration policies, ensuring all documents
are up to date and in accordance with local and international law.
• General HR Assistance:
o Provide administrative support for various HR functions, including recruitment,
performance reviews, training, and employee relations.
o Assist in preparing reports, employee data, and other HR-related documentation.
o Maintain positive relationships with expatriate employees, responding to inquiries
and addressing concerns promptly.
Required Qualifications:
• Proven experience (2-4 years) in HR
• Knowledge of labor laws and regulations related to expatriates (local and international).
• Understanding of Japanese culture, business etiquette, and language
• Excellent communication and interpersonal skills, with the ability to work effectively
across cultures.
• Strong organizational and multitasking abilities, with a keen attention to detail.
• Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and HRIS systems.
• Basic Japanese language
Preferred Qualifications:
• Previous experience working in a multinational or Japanese company.
• Knowledge of HR software or expatriate management platforms.
• Familiarity with relocation and immigration processes.
