Japanese company seeks an Administrator.

Hours: 5days; 3-4hrs per day (flexible)
Location: Manhattan, NY

*This is temp to hire position. (temp period would be 3-6months or less)

We are looking for a responsible Administrator to organize our company’s day-to-day operations. Job will be to provide clerical support to our managers and employees and coordinate all daily administrative activities.
The Administrator should be highly organized and able to multitask with ease. The Administrator’s main tasks are regarding to accounting, personnel and labor, general affairs and sales support. Our ideal candidate has experience as an Office Administrator, Secretary or relevant administrative role. You should also be familiar with software (e.g. MS Office, Quick Books), including word processors, spreadsheets and presentations.

Primary Administrator Responsibilities- includes, but is not limited to
● Maintain accounting records integrity as required by making necessary adjustment, verification, and recording of data into accounting system.
● Verify amounts and general ledger codes for all data entry into accounting system.
● Balance entries and make necessary corrections.
● Verify monthly totals for reasonableness and accuracy.
● Detail oriented data entry and supervision of data entry by others for accounts payable/receivable and payments process.
● Compile monthly financial information for reporting to parent company and internal managers and ability to meet assigned deadlines.
● Reconciliation of general ledger and bank accounts.
● Assist with financial and tax audits.

● Assist onboarding new employees and organize their employment paperwork.
● Assist manager to administer new hire and termination packets for all employees.
● Assist manager to ensures Company’s safety compliance with all governmental and state’ regulations and requirements.
● Files and mails out the documentations of the legal activities that related to Human resources.
● Coordinates Company’s healthcare benefits including enrollments for new employees, corresponding with insurance companies and coordinating with insurance brokers.
● Assists in handling all insurance claims as necessary.
● Assist administering employee benefits.

● Supports sales and other team and acts as an assistant on various tasks.
● Assist management with administrative duties such as creating, preparing and maintaining materials and data for meeting.
● Provide other administrative support as necessary, including scheduling group meetings, maintaining calendars, doing research, and creating reports.

● Maintain office files, implement and efficient system for other staff to access files and records.
● Monitor and order office supplies, break space supplies, electronics, etc. as required.
● Act as a liaison with Building Management office, IT infrastructure and hardware vendors for repairs when equipment malfunctions.
● Perform other general office assistant duties and errands as assigned.
● Miscellaneous duties as assigned.

● Proven experience as an Administrator, Administrative Assistant or relevant role.
● Proven experience with accounting system (Quick Books).
● Familiarity with office equipment, including printers and fax machines.
● Knowledge of office policies and procedures.
● Experience with office management tools (MS Office software, in particular).
● Excellent organizational and time-management skills.
● Strong written, oral, and open communication skills.
● Problem-solving attitude with an eye for detail.
● Language: Japanese (native level), English (business level).
