Detail: Japanese logistics company seeks a Japanese Bilingual Sales Assistant (Entry-level).
SUMMARY
Supervise the operational and fiscal activities of the department. Plan and develop systems and
procedures to improve the operating quality and efficiency of the department.
PRIMARY RESPONSIBILITIES
1. Plan and prioritize sales activities and customer/prospect contact towards achieving agreed
business aims, including costs and sales.
2. Manage product/service mix, pricing and margins according to agreed aims.
3. Maintain and develop existing and new customers through appropriate propositions and ethical
sales methods, and relevant internal liaison, to optimize quality of service, business growth, and
customer satisfaction.
4. Use customer and prospect contact activities tools and systems, and update relevant information
held in these systems.
5. Plan, carry out and support local marketing activities to agreed budgets and timescales, and
integrate personal sales efforts with other organized marketing activities.
6. Respond to and follow up sales enquiries using appropriate methods.
7. Monitor and report on market and competitor activities and provide relevant reports and
information.
8. Attend and present at external customer meetings and internal meetings with other company
functions necessary to perform duties and aid business development.
PRIMARY DUTIES
The specific duties required to produce the desired results include, but not limited to:
Track rates and market conditions
Communicate by e-mail, fax, and phone.
Travel – local, national, global as required
Secure collections in time (within 60 days of invoicing)
Be familiar with all government compliance requirements
Sales lead development
o Follow up with agents through e-mail and phone calls.
o Follow up with potential customers through e-mail and phone calls.
o Determine the needs of the customer
Prepare quotations
o Gather rates from operations and Sales Coordinator
o Communicate with vendors
o Communicate with other KLL offices and agents
o Create quotation based on specific requirements
Sales incoming calls – Physical site visit
o Coordinate schedule with customer
o Check customer’s credit with Dun & Bradstreet
o Prepare necessary information (example; brochure, regulatory forms, quotations)
o Determine other potential customers within the geographic area
o Consult with customers to answer questions and explain processes
o Gather required information and forms from customer (POA, LOI, etc.)
o Close business

o SALES must have working knowledge of all KLL products
o SALES may create new business opportunities for the company
o Should be familiar with regulatory compliance requirements based on:
Commodity (restrictions) HTS codes
Cargo origin or destination
Party identity (e.g.: Denied Party list of Dept of Commerce)
Mode of transport
Government agencies and licenses involved
Dangerous Goods
o Ability to advise customer of alternate or more efficient or cost-effective ways of
conducting business.
o Have working knowledge or familiarity with all KLTL products.
Coordinate shipments with operations on behalf of customers
o Take booking information from customer
o Determine which vendor (carrier, trucker, etc.) to use.
o Request rates from vendors if necessary
o Make bookings
o Turn over information to operations
o Follow up with operations for shipment status and to make sure they do their job.
o Report status back to customer
o Check invoices for correctness
Handle customer complaints
o Listen to customer problems
o Make complaint report
o Research condition / cause of problem
o Work with operations / Manager / Customer to provide resolution
Develop business from existing customers
o Continually keep in touch by e-mail, telephone, face-to-face visit
o Continually quote, re-quote, update rates
o Distribute and follow up on sales leads and referrals
Other – Any requests from Branch Manager but not limited to;
o Prepare new sales leads for exchange with overseas
o Costing analysis
o Prepare sales reports (Weekly, Monthly, or as required)
o Prepare meeting reports for sales meetings and customer meetings
o Coordinate RFQ, RFP, large project bids with local & global network
o Training of Sales Coordinator on all of the above
o Possible preparation of shipping documents
o Proper delegation
ADDITIONAL RESPONSIBILITIES
1. Attend training and develop relevant knowledge, techniques and skills.
2. Attend and/or facilitate Web Meetings with overseas sales teams, write meeting summary and
follow up on action items.
3. May require driving personal vehicle for customer visits.
KNOWLEDGE AND SKILL REQUIREMENTS
1. Basic English reading, writing, and arithmetic skills required. Minimum high school diploma or
equivalent.
2. Knowledge of office processes, procedures, and technology, Experience in supervising team
activities.
3. Ability to read and interpret accounting and financial reports.
4. Excellent communication skills.
5. Valid state issued Driver’s License.
6. Must be able to read, write and speak in Japanese /Business level Japanese required.
