Detail: Japanese logistics company is seeking an Entry Writer in Wood Dale, IL!

1. General Position Summary:
General Summary
This position operates as an import Customs Broker’s assistant as well as an Operations Coordinator with responsibilities such as ensuring the flow of import operations documentation and communications between the Company and necessary government organizations regarding all freight and cargo. Also, this position requires good communication skills and displays professionalism with customers as the coordinator of operations.

2. Essential Job Functions:
Primary Job Functions 50%

A. Logistics Compliance Processes

1. Customs declaration
a) Provides all necessary shipping information and documentation to the proper government agencies or bureaus for the timely clearing of goods.
b) The customs declaration must be done correctly in the right manner.
c) Accommodates and gets all customs declarations done from the sales Departments promptly.

2. Offer of quotations to the customers
Researches and provides price quotes for current and potential customers.

3. Logistics coordination
a) Follows import department's procedures.
b) Has great communication skills with shippers, trucking, airlines, etc.
c) Good management of the logistics by confirming delivery and pickups with necessary parties
d) Data entry of all necessary shipping contract data into the Company's database
e) Arranges to issue billing, payment of the charges and fees, etc. on a daily, weekly, and as needed basis.
f) Communicates with the head office regarding contracts, shipments, etc. as needed.
g) Troubleshoots any logistics issues and matters in a timely manner.
h) Coordinates domestic transportation and manages pick-up and delivery schedule with shippers, carriers, and customers.
i) Tracks freight and reports shipment status to customers.
j) Collects and verifies freight charges with PODs, solves all payable discrepancies prior to final payment to vendors.
k) Performs any other logistics functions as needed.

B. Invoicing
4. This position also includes the assistance in invoicing of files for the Airfreight, Ocean and Trucking departments.

Secondary Job Functions 30%

A. Keeps Management Informed
1. Participates in meetings.
2. Reports problems and issues to Manager, General Manager and/or Management verbally or in writing to avoid confusion and further problems.
3. Recommends changes for improvements in the Company's functions to Manager, General Manager and/or Management.

B. Ensures Legal Requirements and Corporate Practice of Logistics Operations
1. Ensures logistics operations are in line with all industry and Company required compliance items.
2. Obtains proper licensing as needed.
3. Studies existing and new regulations.
4. Meets TSA, State Department, CTPAT, etc., requirements as necessary.
5. Complies with other industry-related regulations as they arise.

C. Follows Accounting Practices and Requirements
1. Follows accounting compliance requirements, Company practices and policies (Credit Risk Management, Basis for Recording Sales, Expenses, etc.).
2. Supports the Accounting Department in the closing process.
3. Reconciles all accounts.
4. Assists in the maintenance of the Departments system of accounts, books, and records on all Transactions.
5. Supports any other accounting duties as necessary.

D. Ensures the Management of Sensitive Information
1. Follows all Company practices and policies regarding confidentiality.
2. Maintains secure transmission and storage of sensitive Company information.
3. Avoids or identifies conflicts-of-interest and notifying Management.
4. Performs any other general actions needed to protect the Company's confidential information.

3. Essential Job Requirements:

Minimum Qualifications
A. Mathematical Skills
1. Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume.
2. Ability to apply concepts of basic algebra and geometry and to draw and interpret bar graphs.

B. Computer Skills
1. Ability to use a computer and such applications as Microsoft Windows, Word, Excel, Outlook and PowerPoint and be able to design custom reports as necessary.
2. Ability to use Company’s Database Program for Logistics Operation.

C. Other Skills
1. Must be tactful, mature, flexible and able to successfully respond to multiple work pressures.

Education/Experience
High School or GED and three to five years of related experience and/or training; or equivalent combination of education and experience.
