Job Title: Japanese Bilingual Executive Assistant
Location: Newport Beach, California
Working Hours - 9am-6pm (原則オフィス勤務/⼀部ハイブリッド)
Saraly Range: $60K-$80K DOE

Key Responsibilities:
■ President’s Executive Support
●Manage the President’s schedule (meetings, business trips, dinners, etc.)
●Organize and follow up on emails and communications addressed to the President
●Arrange meals, meetings, and transportation
●Coordinate with the Japan headquarters (in both English and Japanese)
●Prepare documents and conduct basic research (e.g., presentation and report support)
●Provide comprehensive secretarial support related to the President’s duties
●Arrange travel (airfare, accommodations, transportation, etc.)
●Offer daily operational and environmental support to ensure the President’s work proceeds smoothly
■ Accounting & General Affairs Support
●Assist with initial expense reimbursements, petty cash, and invoice processing
●Compile vendor invoices and internal vouchers, and liaise with the accounting team
●Organize and manage documents for internal and external submission
●Handle general office administrative tasks (e.g., supply management, mail handling)
Qualifications:
●Minimum 3 years of practical experience in general affairs and/or executive assistant roles (industry not specified)
●Business-level proficiency in both Japanese and English (reading, writing, and speaking)
●Hands-on experience with Microsoft 365 (Word, Excel, PowerPoint, Outlook)
●Strong attention to detail and accuracy in administrative tasks, with a high level of confidentiality
●Excellent communication skills for smooth interaction with internal and external stakeholders
●Ability to multitask effectively while maintaining speed and accuracy
●Must have legal authorization to work in the U.S. (Visa sponsorship not available)
Preferred Qualifications
●Experience working at a Japanese company or in a Japan–U.S. business environment
●Basic understanding of accounting and HR-related tasks
