Job Summary
We are seeking a highly organized and proactive Operations & Administrative Coordinator to support our retail and restaurant operations, marketing activities, and head office administration. This role requires excellent multitasking skills, attention to detail, and the ability to coordinate between multiple teams and external partners in a fast-paced environment.
Key Responsibilities
Store Operations:
Oversee daily operations and reporting for multiple retail locations .
Prepare daily sales reports and monthly inventory sheets.
Respond to customer inquiries, including scheduling private events, sushi classes, and uni (sea urchin) workshops.
Monitor employee attendance and time sheets.
Check inventory availability for online orders and confirm fulfillment feasibility based on store stock and next-day supply.
Provide on-site operational support at stores as needed, especially during staff shortages.
Manage the recruitment process, including posting job ads, communicating with applicants, scheduling interviews, and handling paperwork.
Head Office / Administration:
Communicate with city agencies such as the Department of Health and Mental Hygiene (DOHMH) and the Department of Consumer and Worker Protection (DCWP) regarding business licenses, renewals, and compliance updates.
Marketing & Project Coordination:
Coordinate the planning and production of branded merchandise (e.g., tote bags, aprons).
Manage promotional material design projects, including POP displays, posters, and banners—overseeing design revisions and print submissions.
External Coordination
Handle weekly order coordination with Chef Omakase, confirming product details and delivery timelines.
Special Projects
Develop and manage catering outreach lists targeting corporate, event, and media clients.
Conduct market research and compile benchmarking lists within the sushi industry.
Create categorized influencer lists for marketing and promotional purposes.
Qualifications
Strong organizational and multitasking abilities.
Excellent written and verbal communication skills.
Proficiency in Microsoft Office and Google Workspace.
Experience in retail, food service, or operations coordination preferred.
Restaurant Experience min 2-3 years+ (Required)
Knowledge of food safety, labor management, and hospitality standards.
