Location:New York, NY 
Work Hour: Mon – Fri,  9AM-5PM
Hybrid Work: Office attendance is required at least three days a week.

Job Title: Administrative Assistant
Div: IT Planning Division
Accountabilities:
Service Contract Preparation and Renewal Support
・Coordinate annual service agreement renewals and new agreements with clients and internal stakeholders using the ERP system.
・Prepare and issue quarterly invoices through the ERP system in collaboration with relevant teams, including Accounting.
・Maintain accurate client information and monitor agreement and invoice timelines and statuses.
Contract / MSA Management
・Track Master Service Agreement (MSA) renewal deadlines and manage the renewal process in coordination with clients and internal teams.
・Ensure accurate data entry and timely updates within the ERP system.
Customer Satisfaction Survey
・Organize and distribute customer satisfaction surveys using the designated survey platform.
・Compile responses and prepare reports for company management.
System License Management
・Handle software and SaaS license account inventory, process renewals and prepare invoices in collaboration with the accounting team.
Event Coordination
・Assist in planning and coordinating company events such as conferences, kick-off meetings, and social gatherings including happy hours.
 
Other Administrative Tasks
・Provide support for additional company administrative duties as assigned by the manager.
Requirements:
・2–3 years of experience as an Administrative Assistant or Sales Administrator in a corporate setting.
・Strong verbal and written communication skills in Japanese and strong written communication skills in English.
・Ability to prioritize tasks, manage multiple responsibilities, strong reporting skill, and maintain excellent time management.
・Exceptional organizational skills and attention to detail.
・Proficiency in Microsoft Office Suite, with advanced skills in Excel.
・Experience with ERP systems strongly preferred.
・Ability to quickly learn and adapt to new operations, processes, and systems.
