Detail: Position:Accountant / Office Administrator
Summary:The position is responsible for accounting, payroll, human resources, and office
management for a small, start-up R&D facility located in Albany, New York. This role reports to Senior Executive.
Responsibilities
Accounting (70%):
o Accounts Receivable: Manage invoicing, payment tracking,collections, and physical bank deposits
o Accounts Payable: Enter bills, scan documents, communicate with vendors, and process bill payments
o Prepare financial statements and various managerial reports
o Monitor and analyze cash flow and report cash position to executives
o Maintain employee records and process weekly payroll through an external payroll vendor (ADP)
o Compile and analyze financial data related to R&D activities for the purpose of identifying eligible expenses for tax credit claims.
o Coordinate with R&D departments to ensure accurate tracking and documentation of qualifying research expenditures.
o Prepare reports and supporting documentation required for R&D tax credit filings.
o Ensure compliance with relevant tax regulations and internal policies related to R&D activities.
o Support audits and inquiries related to R&D tax credits and financial reporting.
Administrative Support (30%):
o Provide administrative support to company executives
o Perform daily office tasks such as scanning, printing, organizing,
reconciling, managing work orders, and ordering supplies
o Inventory tracking and maintenance parts ordering
o Prepare purchase order documents for other procurement items
o Monitor facilities and act as liaison with building manager
o Supporting staff in day-to-day operations
o Managing various reports, invoices, and files
o Dealing with customers and internal contacts
Qualifications: Bachelor’s degree in business related area or Associate’s degree with 5 years experience in similar role
Minimum of 3–5 years of experience in accounting is required; CPA is preferred
Past working experience with Japanese company a plus Skills and qualifications
Basic knowledge of GAAP with strong understanding of accounting principles and the general ledger
Experience with NetSuite ERP or similar accounting system
Experience with inventory reconciliations, roll forwards and financial accounting impact of sales and inventory related transactions
Experience with invoicing and accounts payable/receivable management
Experience with account reconciliation and discrepancy resolution
Essential financial acumen and strong math skills
Understanding of payroll processes and tax regulations
Experience with payroll and time and attendance software; ADP preferred
Proficient in computer applications such as MS Word, Excel, and Outlook
Strong written and verbal communication skills
Ability to meet deadlines, multitask effectively, and collaborate as part of a team
Strong organizational skills and attention to detail
Ability to work well independently and in a team
Ability to manage confidential information with discretion
