Customer Support Representative (Japanese Bilingual)
Summary
A Japanese trading company specializing in cosmetic ingredients is seeking a Customer Support Representative to support end‑to‑end customer service and order management activities. This role is responsible for processing customer orders, coordinating inventory and logistics, and facilitating communication with clients and suppliers in both domestic and international markets. The position requires strong organizational skills, attention to detail, and the ability to work effectively in a fast‑paced, collaborative environment.
Essential Duties
• Process purchase orders from cosmetic manufacturing clients with accuracy and timeliness
• Verify inventory levels and issue shipping instructions to warehouse partners
• Prepare and transmit invoices to warehouse and logistics providers
• Submit purchase orders to suppliers and track order status
• Communicate with clients to coordinate delivery schedules and manage lead times
• Maintain accurate and up‑to‑date records of orders, shipments, and invoices using internal systems (e.g., QuickBooks)
• Act as a liaison between sales, logistics, suppliers, and customers to ensure seamless operational flow
• Investigate and resolve delivery issues, delays, and discrepancies
• Provide general administrative and operational support as needed within a small, agile team
Requirements
• Bilingual proficiency in Japanese and English (business‑level reading, writing, and speaking)
• Prior experience in customer service, order management, logistics coordination, or related operations
• Strong organizational skills with the ability to manage multiple tasks and deadlines
• High attention to detail and accuracy in data entry and documentation
• Proficiency with business software and order‑management systems (e.g., QuickBooks, Excel)
• Excellent communication skills and the ability to work effectively with internal and external stakeholders
• Problem‑solving mindset with the ability to address delivery issues and operational challenges
• Ability to work independently in a small, fast‑paced team environment
• Valid U.S. work authorization
Work Hours: 9:00 am - 5:00 pm
Location: Westbury, NY at office 5 days/week
