Job Title: Japanese Bilingual Accounting & Administrative Assistant Manager
Reports To: CFO
Location: West LA

Saraly: $70K-$90K DOE

Summary:
Responsible for managing daily accounting and administrative operations in close collaboration with external accounting firms (BPO vendors). Oversees end‑to‑end transaction processing, invoice issuance, payment execution, internal approval workflows, and HR‑related administrative tasks to ensure smooth and compliant business operations.


Essential Duties/Function:
Accounting Operations
●Manage AP processes using Bill.com, including invoice intake, verification, and approval workflow routing.
●Oversee AR functions such as preparing sales data, monitoring payment schedules, and following up on overdue receivables.
●Coordinate with external accounting partners by providing accurate vendor information, invoice PDFs, and required documentation.
●Maintain transaction integrity by linking quotes, contracts, and financial data through QuickBooks and DocuSign.
●Review employee expense reports and ensure accuracy and compliance with internal policies.
●Maintain proper audit trails, including invoices, receipts, and approval records.

Administrative, General Affairs & HR Support
●Support vendor and contract administration (office services, insurance, IT vendors, etc.).
●Assist with expense tracking, invoice documentation, and general administrative workflows.
●Provide HR‑related administrative support, including onboarding/offboarding documentation and coordination with HR vendors.
●Maintain organized filing systems for accounting, contracts, and internal documents.
●Assist with daily office operations and general administrative tasks as needed.
●Coordinate payroll processing with external payroll vendors, ensuring accurate and timely submission of hours, adjustments, and employee updates.
●Verify payroll data, including timesheets, reimbursements, and deductions, and resolve discrepancies as needed.
Note: This role does not replace a dedicated HR/GA function but requires flexibility to support operational needs.

Bilingual Communication & Cross‑Border Coordination
●Communicate effectively in English and Japanese with internal teams, headquarters, and external vendors.
●Prepare and review bilingual documents, reports, and correspondence.
●Facilitate coordination between U.S. operations and Japan headquarters, particularly for accounting, reporting, and administrative matters.

Skills & Experience:
Required Qualifications
●U.S. Accounting Experience: Minimum 3-5 years of hands‑on accounting operations, including AP/AR.
●Strong understanding of US GAAP and hands-on accounting operations
●Experience with QuickBooks Online is required. Experience with Bill.com, DocuSign, and HCM systems is preferred, or a strong willingness and ability to learn new tools quickly.
●Startup Agility: Ability to build and improve workflows in environments where manuals and processes are not yet fully established.
●Ability to work independently in a fast-changing, small-team environment
●Business-level proficiency in both English and Japanese (written and verbal)
●Proactive and adaptable, with sensitivity to changes in California regulations and local business practices.
●Highly detail‑oriented, organized, and reliable, with a strong commitment to meeting deadlines.
