Job Summary
This position supports sales operations by coordinating communication among headquarters, production facilities, and customers. The role manages customer orders, shipment schedules, and supply chain activities through internal systems and databases. The position also coordinates project development, production planning, and logistics arrangements while overseeing inventory programs and demand forecasting.

Duties and Responsibilities
1. Input and update order and shipment schedule data in the internal database system; generate invoices and monitor payment status.
2. Communicate with customers and internal teams to coordinate and update order status, shipment schedules, and product development information.
3. Generate purchase orders and support accounts payable activities.
4. Prepare reports for month-end and management meetings, including current orders, sales targets, forecasts, and annual sales reports.
5. Manage inventory levels and maintain inventory records; provide regular inventory updates and distribute stock items as needed.
6. Prepare monthly office expense reports and customer deposit reports.
7. Maintain internal databases and related computer systems.
8. Coordinate deliveries and inventory levels through customer platforms or systems.
9. Set up and maintain vendor-managed inventory (VMI) programs and warehouse distribution programs.
10. Oversee purchasing activities, scheduling control, and delivery schedules.
11. Monitor customer demand, inventory levels, and materials in transit to optimize material planning.
12. Support negotiations related to pricing, logistics arrangements, and supplier coordination.
13. Conduct production and cost analysis.
14. Prepare demand and order forecasts.
15. Monitor and control inventory levels and coordinate replenishment orders with production facilities.
16. Coordinate international shipments and ensure proper tariff classifications and logistics arrangements.
17. Identify and resolve delivery issues, including last-minute changes in shipping schedules.
18. Monitor production schedules to meet customer demand.
19. Ensure products are delivered according to the correct specifications and schedule.
20. Coordinate with transportation providers and logistics partners.
21. Manage projects from initiation through completion.
22. Identify opportunities for operational improvements.
23. Work with sales teams to update product specifications and market information.
24. Review and refine sales reports and forecasts related to new business opportunities and customer demand.
25. Update and track accounts receivable information.

Knowledge, Skills, and Qualifications
• Bachelor’s degree or equivalent experience.
• Approximately 5 years of experience in sales coordination, logistics coordination, supply chain operations, or a related field.
• Strong organizational and communication skills.
• Ability to manage multiple tasks and priorities in a fast-paced environment.
• Analytical, detail-oriented, and flexible working style.
• Basic proficiency in PC applications and office software.
