Summary:
This position performs administrative tasks related to trading, such as product logistics and paperwork coordination.
Essential Job Functions:
BUSINESS ADMINISTRATION
1 Prepares sales and purchase contracts.
2 Tracks merchandise statuses of pre-shipment.
3 Arranges shipments and informs to all concerned party.
4 Obtains, prepares, and/or processes required shipping documents.
5 Develops delivery order instruction (DOI) and title transfer instruction.
6 Arranges logistics/custom clearance.
7 Develops invoices, debit notes and credit notes as necessary.
8 Updates inventory status.
9 Updates payment schedule.
10 Prepares/checks documents for payment.
11 Opens/receives Letter of Credit.
12 Collects account receivable.
13 Updates Accounts Receivable Trade, Accounts Payable Trade and Miscellaneous lists.
14 Inputs information into the Company's system correctly.
15 "Enters information to update reports such as monthly shipment/inventory report, monthly invoice summary, and monthly
number of contracts."
16 Sends/receives/files documents.
17 Updates unarrived inventory status.
18 Communicates with suppliers, customers and other related parties.
19 Prepares documents for claim filing and corresponds with insurance company.
20 Controls inventory; enters new inventory, releases requested inventory to customers.
21 Handles monthly closing tasks, entries all related cost of sales on the month, entries of commissions (debit /credit) as well as adjustment of Accounts Payable Trades as necessary.
22 Makes declarations of marine insurance, warehouse insurance and enter in system.
23 Confirms month end goods quantity with warehouse that hold our inventory
24 Calculates/monitors credit lines for appropriate releases and entries.
OTHER & MISCELLANEOUS
1 Performs General Affairs tasks for maintaining office functions such as, receiving and sending mails, purchasing
equipments, and communicating with leasing office, etc.
2 Seeks constant improvement, more efficient and less expensive ways and means in work processes.
3 Performs special projects and other miscellaneous duties as assigned by manager and other senior management.
4 Supports departmental works if other employees are absent. May support other department if required.
5 Maintains high ethical standards in the work place.
6 Reports all irregular issues and problems to supervisor and works to resolve those issues.
7 Maintains good communication with other staff & outside contacts.
8 Complies with all company policies and procedures.
9 Maintains a clean and safe working area.
