Detail: Japanese local Bank is seeking a Reporting Assistant

Job Title: Reporting Assistant
FLSA Status: Non-Exempt
Salary: $950/weekly
Work Hours: M-F 9am - 5 pm ( 1hour lunch) / 7 hours x 5 days (Occasionally, overtime)   

General Position Summary
This position is responsible to perform data entries of daily transactions related to Branch activities. It requires daily data entries, verifying data entered, preparing reports, and mailing documents. Furthermore, this position is required to perform compliance activities related with BSA/AML.

Operation Assistant handles either loan or securities operation. Depends on the operation and employee’s experience level, some job duties may not be assigned. Once the employee gains enough experiences, the employee is expected to be able to perform all job duties listed below.


Essential Job Functions
Operation – 70%
• Confirms transactions with customers/counterparties of each trade by telephone and/or sending out mail or fax.
• Verifies details of confirmations received from customers/counterparties.
• Develops operation sheets.
• Inputs data to bank’s system such as GBS II (accounting system), JPMorgan Access (money transfer system), Citi Direct (CD issuing system) and SWIFT (system used to confirm transactions with counterparties).
• Checks input data with proof lists generated by GBS II.
• Conducts daily and quarterly reconciliation of settlement accounts with statements from JPMorgan Chase, CITI and FRB.
• Conducts monthly reconciliation of custody account for securities and pledged securities to New York State with statements from JPMorgan Chase and FRB. Performs monthly reconciliation of yen accounts as well.
• Develops reports within the branch and/or to head office.
• Develops and sends out previous month’s data to customers and necessary data to branches in Japan.
• Handles back-up tapes for delivery/receipt with Nippon Express.
• Conducts fiscal closing operations daily, monthly, semi-annually and annually.
• Develops forms to confirm account balance with financial institutions for customers and/or audit.
• Develops financial statements and outstanding loan balance statements for customers and/or audit
• Files and retains documents such as operation sheets, confirmations, system outputs etc.
• Handles with discrepancies in accounts with JPMorgan Chase, FRB, etc and negotiates with counterparties to resolve the issues under the supervision of the manager.

Compliance – 20%
• Observes BSA/AML Policies and Procedures of the Branch and U.S. AML regulations.
• Reports Managers for unusual and/or potentially suspicious activities as well as employee misconduct.
• Participates in BSA/AML study meeting.
• Complies with all company policies and procedures.
• Conducts screenings related to anti-money laundering and develops applicable reports.
• Monitors all transactions to confirm that they are not suspicious and develops daily, monthly and quarterly reports. Updates lists daily basis.
• Develops and manages PEP and OFAC report.
• Monitors risk limits for market transactions.
• Assists managers to examine details and analyze the effect to the Branch of newly issued regulations or instructions by regulatory authorities.
• Assists managers to prepare documents requested by internal and/or external auditors.

Other & Miscellaneous – 10%
• Seeks constant improvement, more efficient and less expensive ways and means in work processes.
• Performs special projects and other miscellaneous duties as assigned by senior management.
• Maintains high ethical standards in the work place.
• Reports all irregular issues and problems to supervisors for solution.
• Maintains good communication with other management, office staff members and outside contacts.
• Responsible for maintaining a clean and safe working area.
• Checks language of documents developed by managers in English and acts as an interpreter.
• Translates documents, policies/procedures and other documents from Japanese to English and vice versa.
