Days/Hours: 8 working hours/day (9am -6pm) X 5 days/week (Monday -Friday)

General Position Summary:
A versatile role within a small team, responsible for identifying new sales opportunities and maintaining existing customer relationships primarily through remote communication. The position also supports sales operations by managing customer/product data, handling shipments and invoices, and assisting with order processing. Additional duties include digital marketing tasks such as email campaigns, online store management, and promotional support. The role may provide guidance to part‑time staff in the absence of the Sales Manager. Business‑level Japanese language proficiency is required.


Key Responsibilities:
SALES PROMOTION & MANAGEMENT
●Maintain and develop regular communication with institutional customers, including librarians, professors, and buyers at client retailers, to promote the Company’s products and services.
● Explore new sales opportunities by generating leads through daily customer interactions and identifying new business prospects.
●Determine quotation prices and discount rates in consultation with the Sales Manager.
●Receive products from vendors, arrange shipments to customers, and issue invoices to institutional customers.
● Maintain accurate and appropriate inventory levels in the warehouse.
●Ensure timely receipt of payments for all sales and follow up with customers on outstanding balances.
●Manage email marketing campaigns and maintain the online store to ensure it remains active and supports sales growth.
● Attend internal sales meetings, trade shows, academic conferences, and pop-up events as requested by the Sales Manager.

CUSTOMER RELATIONS
●Respond to customer inquiries via phone and email, and assist customers by providing clear explanations of products and services.
● Receive and process orders via email, fax, or online store, inform customers of expected delivery dates, and issue invoices accordingly.
● Maintain high ethical standards and professional manners in all customer interactions.
●Handle and resolve customer complaints related to sales and services in a timely and appropriate manner.
●Maintain and update customer databases to ensure accuracy and completeness.

HUMAN RESOURCE ASSISTANCE
●Assist the Sales Manager in supervising part-time staff (if any), including providing onboarding support, refresher training, and skill development training. Report any employee issues or notable contributions to managers and HR officers, and work with them to address and resolve any problems when they arise.

OTHER & MISCELLANEOUS
●Seek continuous improvement by identifying more efficient and cost-effective work processes.
●Perform special projects and other miscellaneous duties as assigned by management.
●Participate in in-house cleaning and upkeep of the workspace to maintain a clean and safe working environment.
●Report any irregular issues or problems to management for resolution.
● Maintain effective communication with supervisors, colleagues, and external contacts.


Required Skills & Qualifications:
●High school diploma or general education degree (GED); or equivalent combination of education and experience.
●Experience in book-selling, publishing, digital marketing, and/or online sales is preferred.
●Proficiency in MS office
●Able to commute to the office location during working hours, 5 days per week (Mon–Fri).
●Candidate must have authorization to work in the U.S without any visa sponsorship

Language Requirements:
Japanese: Business-level fluency (Must be able to read, speak, and write Japanese at a business level.)
English: Conversational-level proficiency
