Position Summary:

The Inside Sales Coordinator manages air and ocean import or export shipments, ensuring excellent customer service, accurate shipment processing, timely deliveries, and efficient problem resolution. This position is based in the Import or Export department of “super” or “large” branches within the company’s International Division.

Key Responsibilities

Sales Support:

Prepare and present proposals and quotes, recommending services based on customer needs.
Obtain competitive rates from vendors and provide accurate pricing for shipments.
Work with management to provide quotes for customers.
Maintain and update operational SOPs and perform internal audits for assigned accounts as needed.

Customer Account Management:

Serve as the primary point of contact for assigned accounts.
Deliver outstanding customer service to internal and external customers through a strong understanding of import/export processes.
Maintain and manage customer relationships, proactively providing shipment status updates and notifying customers of any delays.
Prepare daily, weekly, and monthly reports for assigned accounts.
Ensure Standard Operating Procedures (SOPs) are available and followed for all account operations.

Shipment Coordination:

Coordinate timely shipments at optimal cost and to customer satisfaction.
Ensure current pricing information is available before booking shipments.
Liaise with overseas offices, agents, customers, and domestic vendors to ensure smooth shipment execution.

Problem Resolution:

Address customer concerns, troubleshoot errors, and provide timely feedback on service issues.
Review exception reports regularly, identify discrepancies, and resolve problems efficiently.
Provide backup support in assigned departments and perform other duties as assigned.

Qualifications:

High School Diploma or GED required; 3–5 years of experience in air and ocean import/export operations. Equivalent education and experience may be considered.
Strong knowledge of import/export regulations, domestic transportation modes, and providers.
Proven customer service experience, meeting quality standards for internal and external stakeholders.
Ability to work independently, manage multiple projects, prioritize tasks, and escalate issues when necessary.
Excellent written and verbal communication skills, including the ability to compose clear and concise emails, letters, and reports.
Professional and cooperative demeanor when interacting with internal teams, customers, vendors, and government officials.
Proficient with Windows OS and Microsoft Office applications (Word, Excel, Outlook, PowerPoint).
