Japanese company seeks a Sales & Office Coordinator.
1. General Position Summary:
This position is responsible for performing sales support functions, including providing
customer service, maintaining sales information, and creating documents as necessary.
2. Essential Job Functions:
(1) Performs Sales Support Functions:
by processing sales data and generating sales reports; by receiving, processing, and
confirming orders; by creating purchase orders, and sales contracts; by contacting
customers/suppliers/freight forwarders in order to logistics troubleshoot problems as they
occur; by creating and checking product stock date sheet; and by performing any other
sales support functions as necessary.
(2) Provides Customer Service:
by effectively communicating with customers via phone, and e-mail and handling
questions, requests, and claims; by providing information about sales order status; by
reporting customer concerns, and resolving when possible; and by troubleshooting any
logistics problems in a timely manner.
(3) Maintain Information:
by maintaining sales data; by entering sales and profit data per customer/product; and
by inputting new client company information in the database.
(4) Performs Logistic Functions:
by arranging order deliveries; by monitoring and tracking shipments; by ensuring
shipments clear customs; and by ensuring final delivery.
3. Physical Requirements:
While performing the duties of this job, the Staff Member is regularly required to
sit and talk or hear. The Staff Member is occasionally required to stand, walk,
use hands to pick up, handle or feel, and reach with hands and arms.
The Staff Member must occasionally lift and/or move up to 10 pounds.
This position requires vision abilities such as close vision and the ability to adjust
focus.
4. Minimum Qualifications:
A. Language Skills
Ability to read, analyze, and interpret general business documents, forms and
instructions in English and Japanese.
Ability to write reports, business correspondence, and procedure manuals in
English and Japanese.
Ability to effectively deliver presentations to Managers, Staff, clients, and the
general public in English and Japanese.
Ability to communicate verbally and in writing to individuals and groups in English
and Japanese.
B. Mathematical Skills
Ability to calculate figures and amounts such as discounts, interest,
commissions, proportions, percentages, area, volume and to draw and interpret
bar graphs.
C. Reasoning Skills
Ability to apply knowledge and sense of understanding to carry out detailed
written or oral instructions.
Ability to analyze and use various documents (contracts, purchase orders, etc.).
D. Computer Skills
Ability to use a computer and such applications like Microsoft Windows, Word,
Excel, Outlook, PowerPoint, and be able to design custom reports as necessary.
E. Other Skills
Must be tactful, mature, flexible, and able to successfully respond to multiple
work pressures.
5. Education/Experience:
Associate's degree or and two to three year related experience and/or training; or
equivalent combination of education and experience
