Overview:
This position requires a professional who can handle a wide range of HR, administrative, general affairs, and facility-related tasks, while supporting smooth office operations.

Essential Job Functions:
ADMINISTRATIVE COORDINATION(管理・庶務業務)
●Provide administrative support to the organization and management team.
●Assist with data tracking, information compilation, and preparation of administrative reports.
●Prepare and review various documents including correspondence, emails, spreadsheets, and presentations.
●Manage office supplies, breakroom inventory, and maintain a clean and organized office environment.
●Handle incoming mail, courier services (FedEx, UPS), and maintain the mailroom.
●Answer incoming calls, identify needs, and direct inquiries to appropriate departments.
●Support other departments with administrative tasks such as document preparation and information gathering.
●Coordinate janitorial services and ensure proper maintenance of office and tenant spaces.
●Manage office and warehouse keys, maintain key logs, and oversee security access.
●Supervise courier and air courier services for the office.
●Manage company property and report irregularities to management.
●Plan and coordinate company events.
●Receive tenant requests, log issues, coordinate with maintenance vendors, and ensure timely follow-up.
●Coordinate inspections and repairs for:
-Fire systems, extinguishers, sprinklers
-HVAC systems
-Office and warehouse security systems (including user authorization updates)
●Conduct walkthrough inspections with city agencies (Fire Department, CAL/OSHA).
●Coordinate installation, repair, and renewal of phone and data lines.
ACCOUNTING SUPPORT(経理サポート)
●Review employee expense reports.
●Verify invoices and issue payments.
●Conduct credit checks for new clients.
●Assist with additional accounting tasks as requested by the Administration Manager.
HUMAN RESOURCES COORDINATION(人事業務)
●Review employee timecards and attendance records& report discrepancies to management.
●Process onboarding and offboarding procedures.
●Address employee relations issues and support conflict resolution.
●Coordinate with insurance brokers for liability and health insurance renewals.
●Support employees with health insurance applications and maintain insurance premium logs.
●Monitor legislative changes related to employer-sponsored medical insurance.
●Manage the company’s 401(k) plan and respond to employee inquiries.
●Track vacation and sick leave balances and maintain personnel files.
●Coordinate workers’ compensation claims and maintain compliance with regulations.
●Work with insurance auditors and support audit processes.
●File insurance claims when accidents occur.
●Ensure compliance with OSHA and other government safety regulations.
●Conduct harassment prevention training as needed.
●Implement and update the Employee Handbook.
OTHER & MISCELLANEOUS(その他業務)
●Continuously seek improvements in efficiency and cost reduction.
●Maintain high ethical standards and professional communication.
●Report irregular issues to management promptly.
●Maintain a clean and safe working environment and organize documents appropriately.

Qualifications( Required ):
●Associate degree (A.A.) or equivalent from a two-year college or technical school
●Minimum of 3 years of relevant professional experience in HR, administration, general affairs, or a related field within the United States
●A combination of higher education and equivalent experience will also be considered
●Experience in a fast-paced environment with diverse responsibilities is highly preferred
●Proficiency with general office equipment (telephone, fax, copier, PC, printer, scanner, etc.)
●Strong working knowledge of Windows OS and Microsoft Office applications
●Comfortable using AI tools and proactive in leveraging technology to improve efficiency and automate workflows
●Business-level proficiency in both Japanese and English is required (equivalent to JLPT N1 level).
