Role and Responsibilities
Position Summary:
The Air Export & Warehouse Coordinator is responsible for handling air export shipments from booking through final departure while also supporting daily warehouse operations. This is a hands-on position requiring the employee to perform both air export operational duties and physical warehouse activities, including receiving, inspecting, labeling, storing, loading, and tendering cargo. The position will coordinate daily warehouse activities and may provide work direction to warehouse personnel as assigned.
Responsibilities:
Air Export Operations
• Receive and review shipping instructions from customers, overseas offices, and internal departments.
• Coordinate pickups, airline bookings, trucking arrangements, cargo receiving, screening, consolidation, and tendering.
• Prepare and verify export documentation, including HAWBs, MAWBs, commercial documents, cargo labels, manifests, and pre-alerts.
• File or coordinate AES/EEI submissions and confirm that the Internal Transaction Number has been obtained when required.
• Communicate shipment schedules and status updates to customers, carriers, overseas offices, management, and sales personnel.
• Monitor shipments from pickup through departure and proactively address delays, documentation issues, cargo discrepancies, and other exceptions.
• Maintain accurate and timely shipment information in the company’s operating system.
• Obtain and compare rates from airlines, trucking companies, and other service providers as needed.
• Maintain professional working relationships with customers, airlines, truckers, vendors, and overseas offices.
• Follow all applicable company procedures and government requirements, including TSA, IAC, AES, export compliance, and cargo security procedures.
• Prepare accurate shipment accruals, billing instructions, and file documentation, and close shipment files in a timely manner.
• Assist Accounting and management with resolving billing discrepancies and following up on past-due customer invoices when requested.
Warehouse Operations
• Perform hands-on warehouse duties, including loading, unloading, receiving, inspecting, measuring, weighing, labeling, storing, staging, and releasing cargo.
• Verify cargo quantity, dimensions, weight, packaging condition, markings, and documentation at the time of receipt.
• Immediately report cargo damage, shortages, overages, documentation discrepancies, safety incidents, and injuries to management.
• Maintain accurate cargo location, inventory, and receiving records.
• Ensure cargo is properly identified, segregated, protected, and stored according to customer, carrier, security, and safety requirements.
• Operate forklifts, pallet jacks, scales, and other warehouse equipment safely and efficiently.
• Coordinate daily warehouse priorities and work assignments based on shipment schedules and operational requirements.
• Monitor cargo damage, loss, receiving errors, shipping errors, and handling errors, and recommend corrective action when necessary.
• Maintain a clean, organized, secure, and safe warehouse environment.
• Conduct routine equipment inspections and report maintenance or repair requirements to management.
• Support cargo screening, palletizing, repacking, labeling, and other value-added warehouse services as required.
• Assist with periodic inventory counts and warehouse audits.
Supervisory and Administrative Support
• Provide day-to-day work direction and training to warehouse personnel when assigned.
• Monitor compliance with company procedures, safety requirements, and operational standards.
• Report employee performance, attendance, conduct, or safety concerns to management and Human Resources.
• Assist management in preparing basic productivity, shipment volume, inventory, damage, and operational reports.
• Identify opportunities to improve operational efficiency, service quality, safety, and cost control.
• Perform other duties as assigned based on branch operational requirements.
Qualifications
• Two or more years of air export freight forwarding experience preferred.
• Experience preparing air export documentation, including HAWBs, MAWBs, AES/EEI filings, and shipment pre-alerts.
• Working knowledge of TSA/IAC cargo security procedures preferred.
• Previous warehouse, cargo handling, or freight forwarding warehouse experience preferred.
• Forklift experience or the ability to obtain forklift certification.
• Experience with CargoWise or another freight forwarding operating system preferred.
• Strong customer service, organizational, communication, and problem-solving skills.
• Strong attention to detail and the ability to manage multiple shipments and priorities simultaneously.
• Ability to work independently with limited supervision.
• Ability to communicate effectively with customers, carriers, vendors, overseas offices, management, and coworkers.
• Basic knowledge of shipment costing, accruals, billing, and file profitability.
Physical Requirements
• Ability to work regularly in both an office and warehouse environment.
• Ability to stand, walk, bend, reach, and perform physical warehouse activities for extended periods.
• Ability to lift and move cargo weighing up to 50 pounds, with assistance or equipment when required.
• Ability to safely operate warehouse equipment after completing required training.
• Ability to work occasional overtime or outside normal business hours based on shipment requirements.
