General Summary
This position is responsible for the overall administration and coordination of compliance activities in logistics operations, as well as Human Resources and General Affairs functions.
The role includes spearheading regulatory compliance initiatives, coordinating employment policies, HR programs, and employee relations to maintain a positive and productive work environment. The position also ensures seamless operations and compliance with applicable regulations and internal company procedures.

Primary Job Functions (70%)
1. Leads Human Resources Operations
Human Resources Program Administration
• Administer and coordinate performance evaluation processes to ensure timely completion.
• Facilitate compensation review processes, including preparation of preliminary salary adjustment and bonus budgets for management approval.
• Maintain and update job descriptions.
• Plan and coordinate employee training programs and workshops to enhance employee development and regulatory compliance.
HR Compliance & Policy Enforcement
• Periodically review and update company HR policies and procedures to ensure compliance with employment regulations.
• Provide recommendations to management regarding policy improvements.
• Develop Standard Operating Procedures (SOPs) for key HR processes.
Employee Relations
• Serve as the primary point of contact for employee HR inquiries.
• Distribute HR-related communications such as documents, memos, and announcements.
• Address workplace concerns and coordinate with third-party consultants or legal counsel when necessary.
• Work with senior management to resolve employee relations issues.
• Investigate employee grievances and recommend appropriate actions.
Payroll & Employee Benefits Administration
• Coordinate payroll processing with external vendors.
• Verify time and attendance records to ensure payroll accuracy.
• Respond to government agency inquiries and audits.
• Administer employee benefit programs including medical, dental, vision, FSA, workers compensation, and disability insurance.
• Provide benefits information and support employees with benefit-related inquiries.
• Maintain accurate employee benefits records and communicate with insurance providers.
• Coordinate annual benefits renewals and negotiate terms with benefit providers.
• Communicate benefits updates and changes to employees.

2. Coordinates General Affairs and HR Functions
Operational Support
• Act as liaison with vendors regarding insurance and facility-related matters.
• Manage business licenses such as NVOCC, Freight Forwarder, and Customs Broker licenses.
• Handle cargo damage claims and coordinate resolutions with relevant parties.
Document Coordination
• Maintain personnel records and documentation.
• Review administrative contracts and agreements such as warehouse agreements, vendor agreements, and lease agreements.
• Translate documents between English and Japanese and prepare summaries when required.
• Review contractual clauses and provide recommendations to management when necessary.

3. Ensures Trade Compliance
Compliance Coordination / Communication
• Stay updated on regulatory and trade compliance matters including C-TPAT and TSA regulations.
• Monitor changes in laws, procedures, and compliance requirements.
• Manage license expiration and renewal processes.
• Share compliance updates with management and staff.
• Conduct risk assessments to identify operational vulnerabilities.
• Maintain accurate records of compliance activities.
• Periodically review and improve compliance procedures.
• Prepare and submit necessary compliance reports.
Compliance Enforcement
• Conduct training and workshops to ensure compliance with federal, state, and industry standards.
• Identify compliance risks and report issues to senior management.
• Ensure adherence to trade compliance regulations across the organization.
• Work with management and supervisors to maintain company-wide compliance standards.

Education

Salary Range
The salary range for this position is $88,000 – $92,000, depending on experience and qualifications.

Medical and Dental Insurance
After ninety (90) days of employment, employees will be eligible to participate in the Company's medical and dental insurance plans available to other employees. The Company reserves the right to require employees to contribute a portion of the insurance premium.
Vacation, Sick Time, and Personal Days
Upon hire, employees will be proportionately eligible for 56 hours of sick time.
After completion of the introductory period, employees will be proportionately eligible for three (3) personal days per year and vacation days at the rate of ten (10) days per year.
Employees are also entitled to eleven (11) company holidays observed by the Company.
401(k) Plan
After three months of employment, employees will be eligible to participate in the Company’s 401(k) retirement plan, subject to the terms and conditions of the plan.
