Position Summary:
This position does it all - customer order entry, procure parts from domestic and International suppliers based on customer needs, control inventory for assigned customers, coordinate domestic and International shipments with carriers and freight forwarders; prepare documents for domestic and International shipments, such as bills of lading, invoices, packing lists, etc. The ideal candidate will have strong multi-task and time management skills, and intermediate to advanced Excel skills. You must be extremely detail oriented, enjoy being continuously challenged, and able to maintain composure under pressure. Bi-Lingual English/Spanish or English/Japanese is a plus but not required.
Essential Functions:
• Order Management: Process sales / purchase orders, check accuracy, and monitor shipping timelines.
• Track inventory
• Coordinate logistics to ensure on time delivery
o Required: basic understanding of international shipping and terms
o Required: experience negotiating delivery schedules with vendors (domestic and international)
• Sales Team Support
o handling client inquiries
o maintaining CRM data
o acting as the key link between sales, logistics, and customer service
• Process orders and manage inventory for assigned customers which includes:
o Data entry of customer orders
o Process purchase orders based on customer requirements
o Process PO receipts for procured parts
o Process pick lists and packing lists for customer shipments
• Communicate with customers on order status
• Coordinate shipping arrangements w/customers, vendors and freight forwarders to meet delivery
requirements
• Correspond with domestic and International vendors re: PO’s – expediting, pricing and delivery
• Prepare domestic or International shipping documents
• Process invoices for customer shipments
• Process file maintenance for customers and parts
• Investigate and resolve inventory discrepancies for assigned customers
• Interact with customers, vendors, co-workers, management, and others
Qualifications:
• Excel proficiency (VLOOKUP, PIVOT tables, etc.)
• Communication: strong verbal and written skills
• Organization: multitasking skills to handle urgent order changes and logistics issues
• Product Knowledge: ability to learn and explain product specifications.
• Problem-Solving: ability to resolve order discrepancies and logistics delays.
• High School Diploma or GED
• Ability to communicate orally and in writing in a professional and concise manner
• Ability to maintain composure under pressure
• Ability to type a minimum of 45 WPM
• Ability to work in a culturally diverse environment
