In this role, you will manage end-to-end relocation services for corporate expatriates, private transferees, and diplomatic personnel moving between the United States, Japan, and other global destinations.
Serving as the primary liaison between transferees, corporate HR contacts, overseas offices in Japan, customs authorities, and logistics partners, you will uphold Japanese service standards (Omotenashi) to deliver seamless, stress-free moving experiences.
Key Responsibilities
Case Management & Customer Support
・Serve as the dedicated bilingual point of contact for corporate transferees and private clients throughout the entire relocation life cycle (pre-move planning to final delivery).
・Conduct initial consultations (in-person or virtual) in Japanese or English to assess household goods volume, special requirements (e.g., pianos, fine art, automobiles, pets), and moving timelines.
・Deliver empathetic, high-touch customer support in both Japanese and English, promptly addressing client questions, scheduling conflicts, and escalation issues.
Operations & Logistics Coordination
・Book and coordinate packing crews, ground transportation/trucking, ocean freight (FCL/LCL), and air freight shipments.
・Liaise with overseas branches and local network agents (especially in Japan) to align delivery schedules, unpacking services, and debris removal.
・Manage export and import customs clearance workflows, reviewing packing lists, declarations, and passport/visa documentation to ensure compliance with U.S. and Japanese customs regulations.
・Prepare, track, and process shipping documents, including Bills of Lading (OBL/HBL), Air Waybills (AWB), and customs declarations.
Quotation, Billing & Administration
・Generate cost estimates and formal quotes based on volume surveys, route analysis, and specific client/corporate relocation policy allowances.
・Review vendor invoices (packers, drayage carriers, steamship lines, customs brokers) and approve costs against original job budgets.
・Issue final client invoices, handle supplemental billing (e.g., storage fees, customs inspections, heavy item surcharges), and manage transit insurance claims when necessary.
Qualifications & Requirements
Language Requirement (Mandatory):
・Bilingual in Japanese and English: Native or near-native fluency in Japanese (reading, writing, speaking) and professional working fluency in English.
・Ability to draft formal business correspondence (Keigo / formal Japanese business emails) to corporate HR clients and overseas Japanese headquarters/branches.

Experience:
・1–3+ years of experience in international freight forwarding, relocation/moving services, or supply chain logistics preferred.
・Experience handling Japanese corporate accounts, expatriate relocations (Kaigai Chuzai), or overseas moving operations is strongly preferred.
・Knowledge: Familiarity with international ocean/air shipping processes, household goods customs clearance, and import/export documentation preferred.
Technical Skills:
・Proficiency in Microsoft Office (Excel, Word, Teams, Outlook) and willingness to learn proprietary enterprise resource planning (ERP) or relocation management systems.
Interpersonal Skills:
・Exceptional communication, conflict-resolution, and organizational skills, with a high degree of empathy and cultural sensitivity.
Work Authorization:
・Must be legally authorized to work in the United States without current or future sponsorship.
Preferred Attributes
・Prior experience living, studying, or working in Japan or within a Japanese corporate environment.
・Knowledge of Japanese corporate business etiquette and expatriate relocation practices.
・High attention to detail with the ability to prioritize and multitask under tight shipping deadlines.
